Submission Process

The abstract submission process for BSPD 2021 will be through an online submission portal.

 Presenting Authors are requested to create an account and submit an abstract for review according to the guidelines set out below. The same account will be used when you register for the conference. Please keep the email and password used to create the account for future use. Please do not create a new account. Should you require any assistance or have a query about online submission, contact bspd@conferencepartners.com.  

 

IMPORTANT:

  • It is ESSENTIAL that you read the instructions below before you submit.
  • The Presenting Author must submit the abstract and is required to be the corresponding author for that abstract

You do not need to register for the Conference prior to submitting an abstract however following acceptance into the programme you must register by Tuesday 18 May 2021.

You are entitled to get the early bird registration rate. You will be provided with a link to register at this rate in your acceptance email. If you have any queries please contact bspd@conferencepartners.com.  After this date any registrations made by you will be at the prevailing congress registration fee at time of registration/payment.

Presentation Format

Oral Format:

Oral presentations will be 10 minutes long with 5 minutes for questions and answers.

 

Poster Format:

Accepted posters will be asked to produce a poster for display at the conference. Presenters are asked to take note of the below guidelines when producing their poster. Those who submit and are accepted to a poster prize category will be asked to also make a 3-minute presentation next to their poster.

  • Maximum poster size is A0 (0.84 x 1.19m) (portrait orientation)
  • Keep text to a minimum
  • Ensure any text is in large font
  • Use graphs, charts, and/or tables
  • Ensure contents have a logical flow
  • Make it colourful
  • Removal and collection of posters at the end of the display period remains the responsibility of the presenter. Posters not removed by the indicated take down time will be removed and disposed of.

Prizes

Abstracts must be submitted under one of the conference categories as outlined below. All prize presenters must be members of BSPD. Click here to become a member. Non-members may submit for Poster non-prize.

 Please note all those giving oral presentations or displaying a poster at BSPD Conference 2021 or Teacher’s Branch Study Day will need to be registered and pay the appropriate fee to attend the Conference/Study Day on the day of presentation/poster display.

A presenter may only submit one abstract as the presenter (but may be a co-author on other abstracts).

 

1. Research Prize

 Value of Award: £300

 Aim of prize:

The aim of this prize is to reward original recently completed clinical research in the field of paediatric dentistry and is sponsored by GSK Plc.

Entry Criteria:

This prize is open to BSPD members and seeks entries from researchers who are not yet established in their field. Therefore, in cases where the applicant has undertaken a PhD, he/she should not be more than one-year post-doctorate. Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and up to six entries, which best meet the entry criteria and standards, will be invited to present orally at the annual scientific meeting. Applicants who are not selected for this prize will be invited to present their work in the non-prize poster category at the conference. The judging process will take into consideration the clinical nature and impact of the project.  Researchers with laboratory-based studies or systematic reviews should consider the poster prize.

2. Clinical Case Prize

Value of Award: £300

Aim of prize:

The aim of this prize is to reward recently completed clinical care for a child which is complex, novel or multidisciplinary treatments and is sponsored by RA Medical.

Entry Criteria:

This prize is open to BSPD members and seeks entries from non-consultant grade (or equivalent) clinicians. Clinical cases should demonstrate complex, novel or multidisciplinary treatments provided for a child and should satisfy one or more of the following criteria:

–     Involve any advanced restorative, prosthetic, periodontal, surgical or orthodontic treatments

–     Involve a multidisciplinary input to treatment planning and provision of care

–     Involve short and, ideally, long term management of complex trauma cases

–     Involve short and, ideally, long term management of patients with dental anomalies

–     Involve comprehensive treatment provision for patients with significant medical histories

–     Involve diagnostic and treatment approaches for patients presenting with rare or unusual oral pathology

 It is expected that presenters will have personally performed some of the treatment, not just undertaken a diagnostic work up, for the patient they present.

 Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and up to six entries, which best meet the entry criteria and standards, will be invited to present orally at the annual scientific meeting. Applicants who are not selected for this prize will be invited to present their work in the non-prize poster category at the conference.

 

3. Clinical Governance Prize

 Value of Award: £300

Aim of prize:

The aim of this prize is to reward recently completed high quality clinical governance or quality improvement projects and is sponsored by the Consultants in Paediatric Dentistry Group.

 Entry Criteria:

This prize is open to BSPD members and seeks entries from non-consultant grade (or equivalent) clinicians. Projects submitted under this category must demonstrate the key aspects of an area of clinical governance – this includes clinical audit, service evaluations, patient safety and patient experience. Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and up to six entries, which best meet the entry criteria and standards, will be invited to present orally at the annual scientific meeting. Applicants who are not selected for this prize will be invited to present their work in the non-prize poster category at the conference.

 

4. Poster Prize

Value of Award: £250

Aim of prize:

The aim of this prize is to reward recently completed clinical, research or project work in paediatric dentistry.

Entry Criteria:

This competition is open to BSPD members and seeks entries from non-consultant grade (or equivalent) clinicians. Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and up to six entries, which best meet the entry criteria and standards, will be invited to present their poster at the annual scientific meeting. Applicants who are not selected for this prize will be invited to present their paper in the non-prize poster category at the conference. Participants will give a 3-minute oral presentation, standing next to their poster at the designated time. This will be followed by two minutes of questions.

5. DCP Poster Prize

Value of Award: £250

Aim of prize:

The aim of this prize is to reward DCPs who have recently completed clinical, research or project work in paediatric dentistry.

 Entry Criteria:

This competition is open to registered dental care professionals who are BSPD members.

Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and up to six entries, which best meet the entry criteria and standards, will be invited to present their poster at the annual scientific meeting. Applicants who are not selected for this prize will be invited to present their work in the non-prize poster category at the conference. Participants will be required to be available at their poster during poster viewing sessions and judges may ask questions.

 

6. Undergraduate Students Poster prize

Please note students with posters that are presented are required to register and attend the Teachers’ Branch Study Day and pay the appropriate fee. 

Value of award: £100 (up to three prizes)

Aim of prize:

The aim of this prize is to reward undergraduate students who have recently completed clinical, research or project work in paediatric dentistry.

 Entry criteria:

This competition is open to all dental and dental care professionals’ undergraduate students who are registered as a student at the time of abstract submission. Students are expected to seek guidance of their supervisors/tutors prior to submitting their abstracts and must provide a letter from their supervisor confirming their undergraduate status, outlining that the undergraduate undertook the project with supervision and met all requirements for permissions including ethical approval where appropriate.  There are governance issues around publishing case reports and clinical governance projects and therefore supervisors’ approval is essential to ensure compliance to the abstract submission guidelines.

Abstracts will initially be appraised by the Conference Abstract and Prize Committee (CAPC) and/or the Teacher’s branch committee and up to ten entries will be invited to present their poster at the Teachers’ branch study day. Applicants who are not selected for this prize will be invited to present their work in the non-prize poster category at the conference. Participants will be required to be available at their poster during poster viewing sessions and judges may ask questions.

7. Poster (Non-prize category)

 If you are not submitting to any of the above prize categories, you may submit in this category in order to be considered to present a poster at the conference. Abstracts will still be reviewed by the Conference Abstract and Prize Committee (CAPC) to ensure high quality standards are maintained.

 

Publishing of Abstracts

It is expected that, in keeping with normal publication protocol, the first author (the presenting author) has made the greatest contribution to the work described. All co-authors must have approved the abstract submission. Furthermore, no abstract should have been presented previously at a National or International scientific meeting or have been published.  The presenter must register for the Scientific Meeting. Failure to do so, after acceptance of an abstract, may result in the abstract being withdrawn.

Accepted abstracts will be published by Wiley in The International Journal of Paediatric Dentistry.

Submission Guidelines

Please adhere to the following formatting guidelines when preparing abstracts for submission for BSPD 2021. Abstracts which are not correctly formatted will not be reviewed.

 

Preparation of Abstracts:

Abstracts should be prepared according to the protocol given below. There are three main formats for abstracts depending on whether the content relates to: a research study, a clinical case or an audit project. Provide the name of any funding body, if applicable, at the bottom of the abstract.

Failure to adhere to the detailed format for abstract preparation will result in the rejection of the abstract.

Instructions for a Clinical Case Abstract:
Use the following subtitles in your abstract as appropriate:
  • Background
  • Presenting problem
  • Clinical management
  • Discussion

 

Instructions for a Clinical Governance Abstract:
Use the following subtitles in your abstract as appropriate:
  • Background
  • Aim
  • Standards (if audit) or Objectives
  • Method
  • Results
  • Discussion/Recommendations/action plan (as appropriate)
  • Conclusion

 

Instructions for a DCP, Undergraduate and Poster Prize Abstracts:
Based on whether the abstract is a research, clinical case or clinical governance please use the appropriate heading from those listed above.

For the undergraduate prize, we require a letter from the supervisor confirming the following:

  • The undergraduate status of the applicant
  • Confirmation that the undergraduate undertook the project with supervision
  • The project met all requirements for permissions including ethical approval where appropriate

 

How to submit an abstract

The Presenting Author will be the contact person for the abstract and must submit the abstract. Once you enter the online submission portal, start by creating an Account. Please keep a record of the account details you use to set up the account as you will require them to log into both the BSPD 2021 abstract submission system and Conference registration portals. Upon successful submission of the abstract a confirmation email will be sent to the Presenting Author. 

If you have not received a confirmation email, please check that your abstract is not left in draft and is fully submitted by logging back into the portal and checking on the Edit Abstracts page.

 

IMPORTANT: 

  • A person may be associated with an unlimited number of papers but only 1 abstract per registration as lead presenter will be permitted.
  • If more than one abstract is submitted to a prize category by the same person, all abstracts will automatically be disqualified from the prize competition.
  • Submissions for prizes are only considered from BSPD members. If you are not a member, please complete membership registration and have your membership number as it is required to complete your abstract submission. Click here to become a member.
  • Submissions to non-prizes are welcome from both non-members and members.

 

Please note that you can save your submission as a draft and return to edit the submission, but once it has been submitted the abstract cannot be edited after the close of submission deadline. Submission Process:

The online abstract submission system is a simple step by step process and will ask you to input the following details:

 

  • Title of the abstract (word limit is 12)
  • Name, affiliation, and job title of Presenting Author (this person will act as the main contact for this abstract; this person must be listed as the first author)
  • Name, affiliation, and job title of co-author(s)
  • Abstract word limit is 250, excluding Title, Authors and Affiliations
  • Provide the name of any funding body, if applicable, at the bottom of the abstract.
  • Upload Mentor letter if undergraduate prize entrant
  • Complete questions listed in Additional Information.
    • Provide your BSPD membership number.
    • State your Professional Status.
    • Complete ethics question
  • If you are submitting to a prize, please confirm that you are not appointed to a consultant / senior clinical position (e.g. SDO/Senior Lecturer)
  • Graphs and tables may not be included in the abstract.

Notification of Acceptance and Registration

Notification will be sent to the Presenting Author in early May 2021.

 

When notified of acceptance, the Presenting Author is required to accept their offer by registering for the Conference by 18 May 2021. Failure to do so may result in the rejection of their abstract from the programme.

 

You do not need to register for the Conference prior to submitting an abstract but if you have an accepted abstract you are entitled to get the early bird registration rate up until 18 May 2021. You will be provided with a link to register at this rate in your acceptance email.

 

If a presenter fails to register by 18 May 2021:

  • Will be removed from the programme
  • Will be removed from all BSPD 2021 related publications

Withdrawal Conditions & Change of Presenter

Written notice must be submitted by 18 May 2021 for all withdrawals and change of presenters, contact bspd@conferencepartners.com.

 

If a presenting author is changed to someone who is not eligible, (i.e. senior staff), the abstract will not be considered for a prize and can only be presented as a poster.

Terms and Conditions

  • The abstract submitted adheres to the abstract submission guidelines outlines above.
  • The text of the abstract along with the names and affiliations of authors, the email address of the lead author, will be published in the The International Journal of Paediatric Dentistry, on the conference website and book of abstracts, and any poster, powerpoint presentations and/or additional documents may be published as requested and that this will not raise any copyright issues.
  • This abstract has only been submitted once for BSPD 2021.
  • Abstracts cannot have been presented previously at a National or International scientific meeting or have been published.
  • Presenters may be recorded for live streaming. A recording of the presentation and a copy of the slides may be published online after the conference.
  • It is the responsibility of the Presenting Author to submit the abstract. They are the main contact whose responsibility it is to communicate with other co-authors and ensure that they register to be included in the programme.
  • Accepted authors must register by 18 May 2021 to confirm acceptance of their offer in the programme. If accepted authors are not registered by this date, they may be removed from the programme.
  • A person may be associated with an unlimited number of papers but only 1 paper per registration as lead presenter will be permitted.
  • The abstract submitted is in English.
  • The Presenting Author is available to present at the conference on 4 – 7 October 2021.
